Buy a Smart Cooler or Host Free Vending? How to Decide

We hear this question almost every week: should I buy my own smart cooler, or have one placed for free? Both are good options. The right answer depends on how much traffic your location gets, how much time you want to spend on it and whether you want vending to be an amenity or a business.

Option 1: Host a cooler through full-service vending

With full-service vending, we place the equipment, stock it, clean it and handle every repair and refund. For qualifying locations there is no installation fee and no monthly charge. You provide the space and an outlet.

  • No upfront cost for qualifying locations.
  • No time spent ordering, stocking or fixing anything.
  • Product mix tuned by a team that runs machines every week.
  • Customers contact us directly with any questions or refund requests.

The trade-off is that the sales belong to the vending operator. That is what pays for the equipment and the service. Most offices, apartment communities and clinics that want a great amenity without a new job choose this path.

Option 2: Buy your own smart cooler

When you buy a smart cooler, you own the machine and the revenue. You also own the work: buying product, restocking, pricing, cleaning and customer service. The cooler’s software makes much of this easier, with live inventory, remote price changes and sales reports on your phone.

  • You keep the profit from every sale.
  • You choose every product and price.
  • You pay for the machine plus delivery, plus a monthly software and connectivity subscription and card processing on each sale.
  • You restock, or hire someone to.

Who each option fits

Hosting usually fits

  • Offices and apartment communities that want an amenity, not a side business.
  • Property managers who would rather not handle stocking or refunds.
  • Locations that qualify for free placement based on traffic.

Buying usually fits

  • Vending operators building a route.
  • Gyms, hotels and dealerships that want control over the product mix and branding.
  • Businesses with staff who can restock, or locations too small to qualify for free placement.

Which machines are available to buy?

We sell and install AI smart coolers from three manufacturers: HAHA, Vendera and Qingo. They range from compact single-door units that fit tight spaces to double-door models for high-traffic sites. In Utah, our team delivers, places and sets up the cooler, then helps you load your first products.
